What is RefWorks?

RefWorks is a web-based citation management service that allows users to create a personal database of resources and keep those resources well organized. You can easily generate bibliographies or format your research paper. RefWorks is available to all AFIT faculty, staff, and students. Contact your library liaison for personal assistance.


 How do I start using RefWorks?

Sign up with an individual account from any AFIT networked computer:

Go to: http://www.refworks.com
1. Click on User Login.
2. Click on "sign up for an individual account."
3. Make up a username and password; fill in requested information.
4. Once your information is submitted, you will have immediate access to RefWorks.
5. You will receive an email confirmation of your username and password.

To use RefWorks from a non-AFIT networked computer (home, off-campus, etc), you will first need the group code. While on an AFIT networked computer, please refer to the AFIT Library Passwords  page for the group code, or call the reference desk at 255-6565 x4207.


 Using Write-n-Cite with RefWorks

Write-n-Cite is a software program that you use in conjunction with Microsoft Word to incorporate citations from your RefWorks database. As you are writing your paper, Write-n-Cite allows you to choose the correct citations from the RefWorks database you created and place them in the proper place in your paper. It can then format a bibliography of those citations for you. Write-n-Cite does require installation on your computer.

Here are some easy steps to follow when using Write-n-Cite:

Step 1: Write the paper in Word, and use Write-N-Cite to insert your footnote references by clicking on Cite next to the reference in the RefWorks screen. Save this document (it will have markers around the footnotes).

Step 2: To attach the bibliography to the paper, launch Write-N-Cite, choose Bibliography (and the correct folder), select the style format (APA) and then choose Create Bibliography. A final copy of your document with the bibliographic references will open in a new window. Save this final document and edit for font size, spacing, etc. The markers will have disappeared.

Step 3: If you have difficulty linking the references you have saved into the finished report (i.e., an error message "unable to connect to refworks server" appears) try switching from the .mil proxy to the .edu proxy.

Importing and Exporting Citations into RefWorks

Many of the databases that AFIT subscribes to have a direct export to RefWorks feature.  For the following databases, select RefWorks from their download or export menus:

360 Link (Article Linker)
360 Search
Aerospace Database (Proquest)
Compendex via Engineering Village II
EBSCOhost Databases 
First Search (from OCLC)
IEEE Xplore
INSPEC
Science Direct

Open resources:

* In Google Scholar, go to Scholar Preferences, and select "Show links to import citations to" and choose RefWorks from the pulldown menu.  Results in your next searches on that computer will reflect links for RefWorks.


Other AFIT specific databases:


The D'Azzo Research Library Catalog

  1. Conduct your search and add the records you want to save to the bookcart
  2. Click on "view saved" bookcart (bottom of page)
  3. Click View and Export Saved Records
  4. For format of list, choose EndNote/Refworks
  5. Choose "send list to" local disk
  6. Click Submit
  7. File is named "export.txt". Save it to my computer - removable disk
  8. Login to RefWorks and select References/Import from the toolbar
  9. Select Innovative Interface(EndNote / RefWorks format) as the data source and EndNote/RefWorks format as the database
  10. Browse to locate the saved file "export.txt"
  11. Click Import


AIAA Papers Database
(On Site)

Citations from the AIAA database must be done manually within Refworks. Make a copy of the citation information, then log into Refworks. Go to References, then Add New Reference. Fill in the fields and save. CSA Aerospace and High Technology Database and Google Scholar do index some AIAA papers, so if you can find a citation to the article you want to add to RefWorks in CSA Aerospace or Google, you can directly export it from CSA Aerospace or Google Scholar into RefWorks.


ACM Digital Library

  1. View a citation you wish to save in full format
  2. Click the link to Display in BibTeX format
  3. If you have multiple records you want to import, copy and paste the results into a Document and Save As a plain text .txt file
  4. Log in to RefWorks
  5. Select References/Import from the toolbar
  6. Select BibTeX as the data source and ACM Digital Library as the database
  7. Browse to find the text file you saved to your computer
  8. Click Import


Defense Technical Information Center (DTIC)

  1. After selecting Import from the References pull down menu. Select STINET as the Import Filter/Data Source, and STINET as the Database. 
  2. Copy the citation from DTIC and paste it into the RefWorks Import Data from the following text" box.
  3. If you have a number of citations to retrieve, we suggest pasting into a text file, and separating the citations with two carriage returns.  Import the text file using the settings described in step 1.
  4. Click on Import
  5. Please note that you will need to edit the DTIC citation to meet APA requirements. 


EBSCOhost

  1. Add items to folder, click on Folder View.
  2. Select records for export using check boxes. 
  3. Click EXPORT.
  4. Choose Direct Export to RefWorks. Make sure pop-up blocker is turned OFF.
  5. Click SAVE (left side of screen).
  6. RefWorks opens in a new window. Log in with your username and password.
  7. References are imported automatically.


INSPEC

  1. Conduct your search and add the records you want to import to your marked list.  Click on view your marked list ("Marked List (#)" hyperlink).
  2. Select the fields to include in the output.
  3. Select the ‘Save to Other Reference Software’ at the bottom of the page.
  4. When the next window is finished processing the records, either the Export plugin will be started, or, if your computer blocks it, click the ‘Save’ button
  5. Save the file in a place you’ll remember, DO NOT rename the file.
  6. Log in to RefWorks
  7. Select References, then Import from the toolbar
  8. Select Thomson Reuters as the import filter and INSPEC as the database
  9. Browse to find the text file you saved to your computer
  10. Click Import


OhioLINK Central Catalog

  1. Log into RefWorks.
  2. Select Search from the top menu.
  3. Select search Online Catalog or Database 
  4. Select OhioLINK
  5. Set your maximum results.
  6. Enter your title or keywords in the quick search text box.
  7. References will download. You then select which ones you want to directly import.

Science Citation Index (ISI Web of Knowledge)

  1. Conduct your search and add the records you want to import to your marked list.  Click on view your marked list ("Marked List (#)" hyperlink).
  2. Select the fields to include in the output.
  3. Select the ‘Save to Other Reference Software’ at the bottom of the page.
  4. When the next window is finished processing the records, either the Export plugin will be started, or, if your computer blocks it, click the ‘Save’ button

SPIE Digital Library (On Site)

  1. Check the articles you wish to import.
  2. Under the gray text box Options for Selected Articles, choose "View citations in Refworks" and click on Go.
  3. Save as a .txt file.
  4. Log into your Refworks account.
  5. Select Import.
  6. Under Import/Filter Data Source select "Refworks tagged format."
  7. Under Database "Tagged format" should be automatically be selected.
  8. Select Import data from the following text file and browse to your saved text file.
