Officer Education Record Updates/Corrections

AFIT is responsible for maintaining the academic records for active duty, guard and reserve officers of the USAF. The academic classification (coding) section receives thousands of transcripts annually. Upon receipt of your college transcript, our coding staff determines the appropriate academic specialty code (ASC), and updates that data, along with the school code and academic level (baccalaureate, masters, doctorate, professional degrees), into the Military Personnel Data System (MILPDS). This information is used for assignments, promotions, AFSC determinations, and other personnel actions.

Note: The section cannot update Professional Military Education (PME) - SOS, ACSC, etc, or any type of board certification. For information on this and other frequently asked questions click here.


The most common updates are: Bachelor's Plus, (15 semester hours or 23 quarter hours), toward the award of the master's degree, master's degree, master's plus (30 semester hours or 45 quarter hours toward the award of the PhD), and PhD. The section also updates professional degrees (medical, law, chaplain, etc).

Educational updates are made upon receipt of official transcripts, from accredited institutions. Photocopies, scanned copies, emails, faxes, etc. of transcripts are not acceptable and will not be updated by our office.

IAW AFI 36-2305 Para 3.1.4 states:
If an officer is meeting a promotion, assignment, or other selection board and official transcripts are not immediately available, AFIT will accept an official letter, on school letterhead stationery, signed by a responsible school official verifying academic accomplishment. The letter must include the student's name, social security number, name and location of the board, degree or number of hours completed, and when a transcript will be available. These updates are valid for a period of 45 calendar days from the date of transcript availability, whichever is later. If a transcript is not received after the respective board date, AFIT will remove the temporary update and reinstate the previous code in the PDS. The respective boards establish final cutoff dates; consequently, inclusion of last minute updates in the consideration process cannot be ensured.
